Tracking Work Hours Accurately

Accurate time tracking is essential for freelancers billing by the hour, employees verifying their paychecks, and managers calculating labor costs. The most common mistake is forgetting to subtract unpaid break time, which leads to overstating hours and incorrect pay calculations.

In the United States, the Fair Labor Standards Act (FLSA) requires employers to pay for all “compensable time” — time the employee is required to be on duty. Meal breaks of 30 minutes or more are generally unpaid and should be deducted. Short rest breaks of 5–20 minutes are typically compensable and should not be deducted from total hours.

Frequently Asked Questions

How does the work hours calculator handle breaks?

Enter your break duration in minutes for each shift. The calculator subtracts this from the gross shift time to give you net (billable or compensable) hours. For example, a 9:00 AM–5:00 PM shift with a 30-minute break gives 7.5 net hours.

Can it handle overnight shifts?

Yes. If the end time is earlier than the start time on the same day (for example, 10:00 PM to 6:00 AM), the calculator treats this as an overnight shift and adds 24 hours to calculate the correct duration of 8 hours.

What is the decimal hours format?

Decimal hours express time as a single number. 7 hours 30 minutes = 7.5 hours, 8 hours 15 minutes = 8.25 hours. This format is required by most payroll systems and time-tracking software that calculate gross pay as hours × rate.

How do I calculate my weekly pay from this?

Take the total decimal hours from this calculator and multiply by your hourly rate. For example, 42.5 hours at $18/hour = $765 gross pay. For overtime, remember that hours above 40 per week are typically paid at 1.5× in the US.

Can I use this for more than one week?

This calculator handles up to 7 shifts. For multi-week tracking, calculate each week separately and add the totals. If you need continuous time tracking, consider a dedicated timesheet app.
